CheerWave Terms & Conditions

Season 2026–27

Booking

When you book a mix through CheerWave, you're reserving a delivery date for your custom mix. Your booking is confirmed once you receive your confirmation email. The person who places the booking is responsible for the order — including payment — even when ordering on behalf of a club, team, or gym. Please make sure you're authorised to order before booking.

Material instructions

To make your mix, we need your completed 8-count sheet, your song wishes, and any notes — submitted through the intake form.

All materials are due 14 days (2 weeks) before your delivery date.

The clearer and more complete your materials, the better your mix — please take a moment to fill them in properly. (See our "How to fill in your 8-count" guide.)

Late materials = late mix. If your materials arrive late, we can no longer guarantee your delivery date, and your mix may move behind others already in the queue. Please tell us as early as possible if you expect a delay — we'll always try to help.

Delivery

We take your delivery date seriously — your competition won't wait, and neither will we. We do our very best to deliver on or before your booked date.

Most mixes are made without any need for a call. For a particularly complex mix, a quick video call can help — we'll only suggest one if it genuinely helps, and only if you'd like it.

In the rare event that something on our side prevents on-time delivery, we'll contact you immediately and agree a fair solution together. All work is backed up to protect your order.

Your revision window — "refine, not remix"

Once your mix is delivered, you have a 21-day (3-week) revision window to take it into practice and refine it with us until it's right. If something isn't landing — a song that doesn't hit the way you hoped, a moment you'd shape differently — just let us know and we'll adjust it together. This window is open and friendly, and it doesn't use up any of your edit moments.

All we ask: this window is for refining the mix you ordered — reasonable adjustments to make it shine — not for re-briefing a whole new mix. Stay in that spirit and we're happy to keep polishing.

After the window, your mix moves to your tier's included edit moments (see your product page), valid for the rest of the season. Changes beyond those are available via our simple Extras & Changes guide.

Happy / not happy & refunds

We care deeply about your mix, and getting it right is part of the service — that's exactly what your revision window and edit moments are for. If something isn't right, tell us and we'll fix it together.

Because each mix is custom digital work made specifically for your team, mixes are final: payments are non-refundable and mixes cannot be returned. Any dissatisfaction is resolved through revisions — not through withheld payment or refunds.

Payment

  • Payment is by invoice, due within 30 days of delivery.

  • The person who placed the order is responsible for payment.

  • If an invoice isn't paid, we'll send a friendly reminder. In rare cases where an invoice remains unpaid, the amount may be referred for collection, and future bookings may be declined.

Cancellations & changes

Need to cancel or move your date? Contact us as early as possible and we'll do our best to help.

  • Cancel before production has started — nothing to pay.

  • Cancel after production has started — we may charge for the work already done.

Rush orders

Rush orders push your mix to the front of the queue for faster delivery, available on Stunt, Basic, and Pro mixes (Ultimate is crafted over time and can't be rushed). A rush surcharge applies per tier. Rush slots are limited each week, and your materials are needed as early as possible so we can begin right away.

Ownership & use

Once your invoice is paid, your mix is yours to use for your team's routines and competitions. CheerWave retains the right to use mixes as part of our portfolio and promotional material (for example, in our online "vault" of past mixes), unless you ask us not to.

Music & licensing

CheerWave mixes use original, unlicensed music unless you specifically order a licensed mix.

It is the team's / club's responsibility to check whether their competition or event has specific music-licensing requirements. CheerWave is not responsible for a team's compliance with a competition's licensing rules.

Licensed mixes are available on request at an additional cost.

Being good to each other

CheerWave is built on being genuinely good to work with. We'll always be open, fair, and responsive — and we treat every team, from Stunt to Ultimate, with the same care. In return, we ask for realistic expectations and friendly communication. These terms exist so we can keep being generous with the many by having clear, fair boundaries for the rare few.

Privacy

We handle your personal data (name, contact details, club/invoice information, and uploaded files) in line with GDPR. See our separate Privacy Policy for details.
